Introduction (Calendar Reports Configuration)

Versago calendar reports are a special type of report that allows date-focused reporting in a calendar format. This document describes the specific elements of configuring a report for calendar presentation.

Audience

This document is intended for Versago administrators. End-users do not have access to this function. The creation and maintenance of Versago Record Submission Reports may also require knowledge of SQL Select statements.

Calendar report presentation of the same information

The calendar presentation supports the display of up to three (3) data elements from the underlying report for each date on the calendar.

Before You Begin

Review the “Versago – Reports Configuration” document. The basic process through the “Display” step is the same for record selection reports. Details of the basic setup are not included in this document.

Calendar Setup

There are two elements to the calendar configuration: defining the date or date range data element and defining the data elements to be displayed in the calendar. As noted earlier, all visible report fields are displayed in the pop-up detail mini-page.

Drop-down selections for dates and display details use the value from the “Display Field Name” column in the Display tab of the report setup. Be sure to confirm that your selection is still correct if you change the display field name value.

Date or Date Ranges

In the following discussion, “date” can refer to either a date or a date & time.

The calendar can be configured to show a date or a date range representing start and end points.

A Note on Times

Time values do not appear in the Month view of the calendar. They only appear on the Week, Day, and List presentations.

Single Date Configuration and Presentation

In this configuration the selected information is shown on a single date in the calendar.

Start & End Date Configuration and Presentation

In this configuration the selected information is shown across all dates in the calendar from the start date to the end date. Note that the display information appears at the beginning of each week where the date range for the item is included.

Display Details

Up to three data elements from the report can be selected for display on the date marker in the calendar. Each element can have a label, or not, depending on the audience’s expected knowledge of the information. The examples below the selection area show how different combinations will be displayed.

As an example of how this flexibility might be used, if our sample report is titled “Production Order Starts by Item,” we could show the item number without a label since the report title tells the user that the item number is the key. But we might still have a label for the order number and quantity since those values might not be as obvious.

Appendix A – Using Times from SAP Business One

To use time as part of the calendar selection/presentation it must be defined as a SQL data type of time. In SAP Business One, time values are stored as whole numbers (integers). To use these “time” values in a calendar report they must be converted to a SQL time value. The conversion statement needed is shown below.

CAST(LEFT(RIGHT('00' + CAST(TimeValue AS nvarchar),4),2) + ':' + RIGHT(TimeValue,2) AS TIME) AS [ConvTime] 

This converts the numeric value to text (nvarchar), adds leading zeros and the “:” separator, and then converts the whole thing to a SQL Time value.

Using this statement to report both date and time for SAP Business One Activities, the full SQL statement looks like this:
