TWBS Marketing Campaign Management (MCM) User Guide

MCM Overview

Marketing is critical to your overall business if you want to grow and thrive in today’s economy. Shouldn’t your business management solution provide tools that allow you to accomplish your marketing goals?

Easily track and manage leads and activities:

  • Manage your complete marketing-to-customer service revenue cycle all in SAP® Business One.
  • Use SAP® Business One queries to build and manage marketing campaign lists.
  • Integrate Business One with Constant Contact to streamline email marketing efforts.
  • Promote prospects to Business Partners in one click.
  • Capture custom data with SAP® Business One user-defined fields functionality.

Third Wave’s Marketing Campaign Management (MCM) enables your team to create, execute and track marketing efforts all in one place. Now you can enter, import and manage marketing prospect lists before you’re ready to add them to your list of active Business Partners.

MCM allows you to import and store your prospect lists and associated activities in a separate, yet related, set of tables. So, you are able to use the simple and elegant SAP® Business One interface to manage your marketing activities without slowing Business Partner reports and queries.

Once you import your prospect list and set up a campaign, you can even establish a bidirectional connection with Constant Contact or use the built-in email blast feature. When you use the power of SAP® Business One queries to select your audience, you’ll easily keep all activities in one place. Finally, when a marketing prospect becomes qualified to enter the sales process, a single click allows you to promote them into your Business Partners tables, pulling all your complete activity history with it.

Expand the functionality and usability of your SAP® Business One feature-set with MCM. Manage a larger volume of prospects, campaigns and programs while developing and tracking distinct marketing campaigns - all in one place.

Finally, a tool that enables you to measure the effectiveness and return on your marketing investment integrated within SAP® Business One.

Applying MCM Licenses

Third Wave Business System SAP® Business One add-ons have been updated with an automatic licensing procedure. In order to obtain a permanent license key, the production environment SAP® Business One installation number must first be provided to TWBS Support so that the information can be entered into our systems. The SAP® Business One installation number is a critical component to the new TWBS application license keys. Without this information you will only be able to obtain a 30-day application trial license.

On start up, the application client will verify that a valid license exists for the application having been purchased based on your SAP® Business One installation number. If the license is verified, the application will start. If the application has not been purchased, a 30-day trial license will be issued to allow for limited use of the application. If your trial license has expired and you would like to purchase the application to obtain a full license key, please contact Third Wave Business Systems @ (201) 703-2100.

Technical Information

The technical information for TWBS Marketing Campaign Management consists of the following components:

  • Database Objects - The database objects that are added to the SAP® Business One database from the link in the application DB Server. These object may consist of User Defined Tables, User Defined Fields on either User Tables or existing SAP Tables, or User Defined Objects.
  • Installed Queries - Queries that are automatically installed with the TWBS Marketing Campaign Management application.
  • Additional Queries - Queries that can be used for reporting on the TWBS Marketing Campaign Management data.

If you find the need to add User Defined Fields to the Marketing Accounts table (@twbs_mk_ocrd), you may find it helpful to create a special Category for your custom fields. This will help you exclude User Defined Fields from the add-on that are also displayed in the UDF window.

You may encounter an issue when trying to add new values to the “List” user field on the Demographics tab of the Account. An error message indicating that the value cannot be updated is displayed. If this occurs contact Third Wave Business Systems support for assistance. This is a known SAP® Business One issue.

Map Import Fields

In the next step you will tell the application how the fields in your import file relate to the fields in the database.

mcmimage3.jpeg The columns in your import file are listed in the left-hand grid. The database columns are listed in the right-hand grid.

mcmimage3.jpeg Select (click on) a field in the left-hand grid, select (click on) its corresponding field in the right-hand grid, and click Connect. The mapped data pair is moved to the lower section of the screen. This lower section shows all fields that have been mapped for this type of import. Continue this process until all fields in your import file that you wish to import have been mapped. Note that an indicator (a small “x”) is shown next to each field that has been mapped.

mcmimage3.jpeg If you determine that a field pair is mapped incorrectly, select the pair in the lower section of the screen and click Disconnect. This will clear the mapping relationship of the two fields.

mcmimage3.jpeg When you have completed the mapping process click Save Mapping to save the mapping information for the actual processing step.

mcmimage3.jpeg The Finish button is displayed after the mapping file has been saved.

Note - The mapping process must be completed each time the import function is executed.

mcmimage89.jpeg

The Save Mapping process simply saves a file that is used for the current import cycle.

mcmimage51.jpeg

Execute the Import

Click Finish to execute the actual import process. A message box is displayed when the import process is complete. Click OK to close the message box.

When the import process is complete you can click Cancel to exit the import function or click Back to move to previous steps.

How to Format Data for Importing Accounts

mcmimage8.jpeg

The TWBS Marketing Campaign Management application provides a tool to import Marketing Accounts from an external text (tab delimited) or Excel file. In version 1 of the tool it is necessary to import this information in three separate cycles. Information that can be imported includes Master information, Contact information and Address information.

This utility can be used to both import new records and update existing records, subject to some limitations. A description of how the update process can be used is found in the “Execute the Import Process” that follows.

mcmimage51.jpeg

Create the Import Files

The import file can be either at tab delimited text file or a standard Excel workbook. If you use an Excel workbook only the first worksheet can be used for import data. The following tables describe the information for each data set (master, contact and address).

The first row of the import file should contain the column name. The information in this row is presented in the import mapping process to allow you to “connect” data in your file to the appropriate field in the Marketing database.

It is not necessary to have data for all columns listed in the tables. Your file can consist of columns for only the data you are going to import. So your file may only have five or six columns.

mcmimage51.jpeg

Master Information

The following table identifies the data that can be imported for a Marketing Account Master record. Any User Defined Fields you may have created will also be displayed in the interface so that you can import custom information as well. A more complete description of how the various fields are used is found in the **Marketing Campaign Manager Screens** sections of this User Guide.
