The install process for TWBS RMA consists of the following components:
There are a number of application control elements associated with the TWBS RMA module. You should review these elements prior to using the functionality. Note that the Inventory Transfer and Service Interface functions are new in v2.0.
The Default Receiving Warehouse is the default warehouse that will be used to receive returned material. It is specified in the RMA Configuration function.
The Expiration Days is the number of days that an RMA document will remain “open”. It is used to calculate the expiration date on a new RMA document. It is specified in the RMA Configuration function.
The Default Item Type is the typical type of item that will be returned. The choices are:

The Reason Return Codes are a set of code values that represent the various reasons why material is being returned. These codes are used in the RMA Configuration function and in the RMA document itself. New codes are defined through the RMA Configuration function.
The Expected Disposition Codes are a set of code values that represent the various expected dispositions of returned material. These codes are used in the RMA Configuration function and in the RMA document itself. New codes are defined through the RMA Configuration function.
The Failure Codes are a set of code values that represent the various reasons that returned material may fail inspection. These codes are used in the RMA Inspection function. New codes are defined through the RMA Configuration function.
The Service Codes are a set of code values that represent the various reasons that returned material may require service activity. These codes are used in the RMA Inspection function. New codes are defined through the RMA Configuration function.
The automatic inventory transfer function is used when items are received into a common “Returns” warehouse and then moved (transferred) to other warehouses based on the RMA inspection results. The warehouses to be used in this process are defined in the RMA Configuration function. The use of this function is optional.
The RMA/Service interface allows the user to create an RMA from an SAP Business One Service Call or to create a Service Call from an RMA document. The setup for this process is defined in the RMA Configuration function and enabled at the user level. The use of this function is optional.
RMA documents use the standard SAP Business One numbering controls. A default numbering set named “Primary” and beginning at 1 is created when the application is installed. Additional numbering sequences can be defined using Administration > System Initialization > Document Numbering.

The TWBS RMA Server Properties may be configured by a super-user on the SAP® Business One Server machine.
Third Wave Business System SAP® Business One add-ons have been updated with an automatic licensing procedure. In order to obtain a permanent license key, the production environment SAP® Business One installation number must first be provided to TWBS Support so that the information can be entered into our systems. The SAP® Business One installation number is a critical component to the new TWBS application license keys. Without this information you will only be able to obtain a 30-day application trial license.
On application start, the application client will periodically verify that a valid license exists for the application having been purchased based on your SAP® Business One installation number. If the license is verified, the application will start. If the application has not been purchased, a 30-day trial license will be issued to allow for limited use of the application. If your trial license has expired and you would like to purchase the application to obtain a full license key, please contact Third Wave Business Systems @ (201) 703-2100.
The TWBS RMA database objects may be created by a super-user on the SAP® Business One Server machine.
Updates for the RMA application will occasionally be released through our TWBS Support Web Portal either to introduce new features, fix existing issues in the application, or both. Third Wave does not send out automatic notices with updates are available, so we recommend that you periodically check for new releases.

Once the TWBS RMA module has been installed you will need to complete the configuration process. See the RMA Configuration section for more detailed information.
Under normal circumstances the TWBS RMA add-on module will start automatically when an assigned user logs on to SAP Business One.
If the add-on does not start automatically:
Four items are added to the SAP Business One Main Menu when the RMA add-on is running.
RMA documents are for information and tracking only. They do not directly affect SAP Business One information such as on-hand balance, “on order” balance, etc. Any updates to SAP Business One information are done through standard functionality as described in this document.
The RMA process consists of three major activities: maintenance, conversion, and inspection.You may also have additional functionality to automatically transfer inventory and/or automatically create Service Calls enabled. This section describes these activities at a process flow level. Additional details on each form field are described in the RMA Form Details section.
The RMA Maintenance function allows you to create an RMA, update an existing RMA and review the results of an RMA. This is done through an RMA document, which is managed using the RMA Maintenance form. Details of the form are described in the RMA Maintenance Form section found later in this document.
Like other sales-related documents in SAP Business One the RMA document consists of a header section and a set of lines (rows). The header section contains the information to identify the customer that will be returning the material, date information about the return, and the overall status of the return. The lines section contains the details of the material being returned, such as item number, quantity to be returned and information about why the material is being returned.
A new RMA is created in the standard SAP Business One manner. Go to Sales – A/R > RMA Maintenance to begin. Identify the customer and the material to be returned. Click [Add] to create the RMA document.
With the exception of the customer, information on an existing RMA can be updated as long as the status is Open.
Processing information about the items on the RMA document can be found on the Results tab. This tab shows each item on the RMA, the quantity received to date, the quantity remaining for inspection, the quantity that passed inspection, the quantity that failed inspection and the quantity flagged “for service” in the inspection process.
When material is received from the customer the actual receipt into inventory is handled through the Sales – A/R Return function.
Find the appropriate RMA document and click the [Copy to Return] button. The Return function is opened automatically and the appropriate information from the RMA is passed forward. Information in the Return can be adjusted as required. The most common change will be the actual quantity returned. Note that the Remarks section of the Return includes the source of the transaction (Based on RMA …). A UDF labeled “Document Number” is also updated with the RMA number when the Return document is added.
Important Note
The “Warehouse” field in the Return function must be visible and active in the details (rows) grid for the copy function to work correctly. If this field is not visible and active the material will be received into the default company warehouse.
The inspection process is not required to use the basic RMA functionality, but it is recommended since it will provide a history of the condition of goods that have been returned. However, the inspection process is required in order to use the automatic inventory transfer and automatic Service Call creation functions of the RMA module.
To initiate the RMA inspection process go to Inventory > RMA Inspection Selection.
The RMA inspection process is managed per RMA document line. The first form that is displayed is used to filter the list of lines to be reviewed. The lines can be filtered by RMA document number (or range), customer code (or range), or receiving warehouse code (or range). Leave all fields empty to see all rows available for inspection. Click [OK] to display the list of lines for inspection processing.
The second form that is displayed is the filtered list of lines available for inspection processing. Click the checkbox to select a line for processing. Enter the quantity that passed inspection, the quantity that failed inspection and the quantity slated for some kind of service activity. You can also assign up to three failure reason codes and three service reason codes for each line being processed.
You can also access the inspection maintenance form directly from the RMA document itself using the [RMA Inspection] button.
The details of each inspection cycle can be viewed using the RMA Inspection Results form. Go to Inventory > RMA Inspection Results.
The form opens in Find mode. You can search by inspection document number, posting date, and/or user name.
In some environments all returned materials are received into a specific location. In SAP Business One this location can be a Warehouse. The intent of this approach is to have a clear view of all items that have been returned but have not been inspected for disposition. In this type of setup it will probably be necessary to transfer items to other locations (Warehouses) based upon the inspection results.
To simplify the transfer process after inspection, the TWBS RMA application provides the Automatic Inventory Transfer function. This function automatically opens the standard SAP Business One Inventory Transfer function, populates the form with the appropriate items, quantities and warehouse codes. The Inventory Transfer is posted in the normal fashion to move the item quantities from the “returns” warehouse to the other designated warehouses.
The Automatic Inventory Transfer functionality is enabled in the TWBS RMA Configuration. The warehouses that will receive passed (good) material, failed material and material for service are designated in the configuration as well. See the RMA Configuration section for more details.
The RMA inspection process is initiated and completed as described elsewhere in this document. When the Automatic Inventory Transfer functionality is enabled a dialog box with the prompt “Execute Inventory Tramsfer” is presented when the Add button is clicked.
If the user clicks [No] the Inventory Transfer process is not initiated. Any subsequent inventory transfer transactions must be initiated manually and outside the TWBS RMA processing .
If the user clicks [Yes] the standard SAP Business One Inventory Transfer form is opened and the following actions occur.
When the user adds the transfer the quantity transfers and associated accounting are processed in the standard SAP Business One manner. The Automatic Inventory Transfer function does not make any changes to the standard SAP Business One processing.
RMAs are often associated with service activities (inspection, repair, etc.). The TWBS RMA functionality provides two mechanisms that provide an interface between the RMA processing and the standard SAP Business One Service Call function. These mechanisms allow an RMA to be created from the SAP Business One Service Call function or for a Service Call to be created from the RMA Inspection process.
Use of the RMA/Service Call interface requires configuration both for the RMA processing and at the SAP Business One user level. See the RMA Configuration section for more details.
The RMA to Service process provides a mechanism to automatically create a Service Call from the RMA Inspection function for each item where the “Service” quantity is greater than zero. One service call is created for each item, irrespective of the “Service” quantity.
The RMA inspection process is initiated and completed as described elsewhere in this document. When this version of the RMA/Service Call Interface functionality is enabled a dialog box with the prompt “Auto-create Service Call” is presented when the Add button is clicked.
If the user clicks [No] the Service Call creation process is not initiated. Any subsequent Service Call activity must be initiated manually and outside the TWBS RMA processing.
If the user clicks [Yes] a message dialog is displayed that identifies the Service Call number that is created for each appropriate inspection line.
The Service Call that is created has the following characteristics:
Any of these values except the RMA linkage information can be changed as needed in the Service Call function.
The Service to RMA process provides a mechanism to create an RMA from a Service Call. One RMA is created for a Service Call.
A Service Call is created in the normal manner. Once the Service Call has been added a [Create RMA] button is presented. The RMA Maintenance form is automatically opened and is populated with the appropriate information from the Service Call.
The RMA Maintenance form is used to define what items are to be returned from the customer, the quantity for each item, the reason(s) for the return for each item and the expected disposition of each item.
The RMA Maintenance form has four buttons and two tabs.
An RMA document can be closed by right-clicking on the RMA Maintenance form and selecting the Close option. Closing an RMA document will also close any lines that are still open.
An RMA document can be cancelled by right-clicking on the RMA Maintenance form and selecting the Cancel option. Closing an RMA document will also close all lines. An RMA document can be cancelled only when it is in Open status.
Enter a valid customer code or select (tab through the field or click the Choose From List icon) from a list of customer codes. This value is required.
Enter a customer name or select (tab through the field or click the Choose From List icon) from a list of customer names. The customer name is automatically populated when a customer code is selected.
Select a Contact Person from the drop-down list. The default Contact Person for the customer (if it exists) is automatically populated based on the customer but a different contact can be selected as appropriate.
Enter optional text information that can be used as a reference for the customer. There is no validation for this field.
Select a Sales Person from the drop-down list. The default Sales Person for the customer (if it exists) is automatically populated based on the customer but a different sales person can be selected as appropriate.
Select a Warehouse code from the drop-down list. This value is automatically assigned with the Default Warehouse defined in the RMA Configuration but a different warehouse can be selected as appropriate. This warehouse is used as the receiving warehouse when the RMA is copied to the Return document.
This value is used by the system to assign a document number based on the default numbering series defined for the RMA document.. A different numbering series can be selected from the drop-down list provided. The RMA document number is automatically assigned based on the selected numbering series and cannot be changed manually.
The status values indicate where the RMA document is in the processing cycle. Values that may be displayed are:
Enter the date the RMA document is posted into the system. The current date is used by default but can be changed manually. This date is for information only. It does not affect any type of financial activity. The actual creation date of the document is also captured as part of the RMA data record.
Enter the date the customer is expected to return the material on the RMA. This value must be entered manually and must be earlier than the Expiration Date.
Enter the date the RMA expires. This value is automatically calculated using the current date and the Expiration Days value from the RMA configuration, but can be changed manually.
Select a default Return Reason code from the drop-down list. This value is used as the default value for “Reason 1” for each new row added to the RMA document. The value is automatically populated with the Default Reason Code value from the RMA configuration, but can be changed manually.
Select the default Expected Disposition code from the drop-down list. This value is used as the default value for “Expected Disposition” for each new row added to the RMA document. The value is automatically populated with the Default Disposition Code value from the RMA configuration, but can be changed manually.
Enter remarks about this RMA.
The row fields are described here in the default order established when the add-on is installed. Your layout may differ.
Select the type of item in this row from the drop-down list. This value defines what type of item will be recorded in this line: serial controlled, batch/lot controlled, or none. When either serial or batch/lot controlled is specified there is additional logic applied to validate the Serial/Batch ID information.
Enter an serial or batch ID or select (tab through the field or click the Choose From List icon) from the list provided. This value is required if the Serial/Batch flag for the row indicates a serial or batch controlled item.
The serial or batch IDs lists are limited to those items currently associated with this customer. For example, assume that serial number 12345 for item XYZ was shipped to customer A, was returned, and was then shipped to customer B. The serial number will appear in the list for customer B (as the last recipient) but will not appear in the list for customer A since it was returned.
Enter a valid item code or select (tab through the field or click the Choose From List icon) from a list of item codes. This value is required.
Enter an item description or select (tab through the field or click the Choose From List icon) from a list of items. The item description is automatically populated when an item code is selected.
Enter the quantity expected to be returned.
Select a Return Reason code from the drop-down list. Your business process will determine how this value is used. This value is automatically populated with the Return Reason on the RMA header but can be changed as appropriate.

If the same item has quantities with different combinations of Return Reason and Expected Disposition codes it is necessary to create a separate row for each combination of codes. For example, assume that (10) of item 123 are to be returned. Five units have a Return Reason of “Overstock” and an Expected Disposition of “Return to Stock.” The other five units have a Return Reason of “Faulty” and an Expected Disposition of “Inspection.” Two rows would be created; one for each combination of codes.

There are three forms associated with the RMA Inspection process: RMA Inspection Selection, RMA Inspection Posting, and RMA Inspection Results.
The RMA Inspection process itself includes two forms. The first form, RMA Inspection Selection, is used to define what items are to be inspected. The second form, RMA Inspection Posting, is used to record the inspection results. Go to Inventory > RMA Selection to begin.
The RMA Inspection Selection form has two buttons.
Enter a beginning and ending RMA document number to filter the list of items to be inspected by RMA document number.
Enter a beginning and ending customer code to filter the list of items to be inspected by customer code.
Enter a beginning and ending warehouse code to filter the list of items to be inspected by customer code.
These filters are applied using “And” logic from top to bottom. This means that the document filter is applied, then the customer code filter is applied, and then the warehouse code is applied. If a filter field is left blank it represents the lowest or highest value that is available. Following are some examples.
Note: The RMA Inspection Posting form can also be accessed directly from the RMA Maintenance function. In this case the only items presented for inspection are those from the RMA that initiated the inspection process. Otherwise the process described below is the same as beginning with at the RMA Inspection Selection.
Buttons
The RMA Inspection Posting form has three buttons.
Enter the posting/transaction date for this inspection transaction. The value defaults to the current date but may be changed as appropriate. This date is for reference only. It does not have any financial “posting” impact.

Enter a value in this field to find a specific inspection document or use “*” to display a complete list.
The posting date of the inspection document is displayed
The name of the person that created the inspection document is displayed.
Remarks associated with this inspection document are displayed.
u The SAP Business One Filter Table function can be used to narrow the list of documents in the Choose From list. Click the “funnel” icon in the icon bar or right-click on the list form and select “Filter Table.”
The grid displays detailed information about the rows in the selected RMA Inspection document and provides drill-downs to the source RMA document and the item.
The process that follows is the Third Wave RMA application recommended best practice for handling in the RMA application Items that were not sold through SAP® Business One, but whose return needs to be handled in RMA. This would most likely relate to a serialized item being returned whose serial # does not exist and wasn't processed in SAP®B1 system prior to the RMA request.
Once the customer equipment card has been created, Service Calls can be created and RMA inspections can be performed against the item with the custom entered serial #.
A Copy to RMA right click menu option has been added to allow for the copying of all information from the Sales Order, Delivery Note, or A/R Invoice to a new instance of the RMA Maintenance form.
The Copy to RMA right click menu is only available for marketing documents in OK mode.
The Copy to RMA right click menu is only available from the Sales Order, Delivery Note, and A/R Invoice.
Users cannot selectively copy the contents of the originating document. The entire contents of the originating document will be copied to the RMA Maintenance form. Users can then remove any items they do not want to include in the RMA.
Multiple originating documents cannot be copied to the same RMA Maintenance form instance using the Copy to RMA functionality.
If the originating document includes any serialized items with a quantity greater than 0, the user will be prompted if they want to create a single line on the RMA for the item code or a line on the RMA for each of the quantity on the originating document. The quantity of items on the RMA Maintenance form cannot be adjusted from the originating document quantity.
The configuration information used by the RMA module is found in Administration > Setup > RMA > RMA Configuration. There are seven configuration items that will need to be defined.
Any time a configuration item is changed the form status will change to “update.” Click [Update] to save your changes, or click [Cancel] to close the form without saving any changes.
This value is assigned by default when a new RMA document is created. Enter a valid warehouse code or select (tab through the field or click the Choose From List icon) from a list of warehouse codes. The actual value used for the RMA document can be changed manually on the RMA document.
This value is used to calculate a default expiration date for a new RMA document. Valid values are any number greater than zero (0). The expiration date for the document is calculated by adding the number defined in this configuration item to the current date. The actual expiration date can be changed manually on the RMA document.
The RMA process recognizes three types of items: Serial controlled, Batch controlled or Neither Serial or Batch controlled. This value is used as the default for each new line added to an RMA document. Select the default value from the drop-down list provided. The value for each line can be changed manually on the RMA document.
Each row in an RMA document can be assigned up to three “reason for return” codes. This value is used as the default for the first return reason for each new line added to an RMA document. Enter a valid “Return Reason” code or select (tab through the field or click the Choose From List icon) from a list of “Return Reason” codes. The value for each line can be changed manually on the RMA document.
Additional “Return Reason” codes can be added from the configuration form.
Each row in an RMA document will have an “Expected Disposition” code. This value is used as the default for each new line added to an RMA document. Certain default values can be used to simplify the Service Call creation process when the process is started from the RMA.
The starting point for TWBS RMA / Service interface is defined at the SAP Business One User level. Each user may have a different setup based on their role in the organization.
Service SubjectEnter a subject to be used for the Service Call. For example, this could simply be “Created from RMA.” This value is automatically placed in the Subject field of the Service Call and can be modified there as needed.
Service OriginSelect an Origin value to be used for the Service Call. These values are defined in the Service Call function by selecting “Define New” in the drop-down list for Origin. This value is automatically placed in the Origin field of the Service Call and can be modified there as needed.
Service Problem TypeSelect a Problem Type value to be used for the Service Call. These values are defined in the Service Call function by selecting “Define New” in the drop-down list for Problem Type. This value is automatically placed in the Problem Type field of the Service Call and can be modified there as needed.
Service Call TypeSelect a Call Type value to be used for the Service Call. These values are defined in the Service Call function by selecting “Define New” in the drop-down list for Call Type. This value is automatically placed in the Call Type field of the Service Call and can be modified there as needed.
Service AssignmentDefine how the Service Call will be handled. Options are None, Person, or Queue.
Service Assignee Select a user from the Choose From list. This person will automatically be assigned to all Service Calls created from the RMA if the “Person” option is selected in Service Assignment. This value is required if the “Person” option is selected.
Service QueueSelect a service queue from the Choose From list. This queue will automatically be assigned to all Service Calls created from the RMA if the “Queue” option is selected in Service Assignment. This value is required if the “Queue” option is selected.
Default Reason CodeThe default Reason Code for an RMA document created from a Service call may be different that the Reason Code used when an RMA is created from the RMA Maintenance function. Enter a valid “Return Reason” code or select (tab through the field or click the Choose From List icon) from a list of “Return Reason” codes. The value for each line can be changed manually on the RMA document.
Expected Disposition CodeThe default Expected Disposition code for an RMA document created from a Service call may be different that the Expected Disposition code used when an RMA is created from the RMA Maintenance function. Enter a valid “Expected Disposition” code or select (tab through the field or click the Choose From List icon) from a list of “Expected Disposition” codes. The value for each line can be changed manually on the RMA document.
Special Tools provided with the TWBS RMA add-on include a set of queries to help manage the RMA process.
The following set of queries is automatically installed via the RMA Database Server installation. They are found in the Query Category “TWBS RMA.” These queries will also help identify fields that you might want to use in a Crystal Report as well.
This query lists all RMA documents that are in Open status and are expired based on the Expiration Date vs. the current date. The query can be used as an SAP Business One Alert and/or as a standalone query.

This query is the same as “RMAs for Selected Customer” except that it is structured to be called from the Business Partner Master using either TWBS CrystalWave or Boyum Business One Usability Package.

The technical information for TWBS Return Maintenance Authorization application consists of the following components.
Database objects that are added to the SAP® Business One database from the link in the application DB Server. These object may consist of User Defined Tables, User Defined Fields on either User Tables or existing SAP Tables, or User Defined Objects.
The following tables are used exclusively by the TWBS RMA module.

Use this function to enter your TWBS RMA license key. This key can be obtained from Third Wave Business Systems or your SAP Business One partner.
The currently connected database is shown in the lower left corner of the Service Manager screen. This is the database that will be impacted by the Create User Tables, Create User Fields and Create User Objects functions. Use the Set Server Properties function to change the database connection.
Server Name:
Enter the name of your SQL Server.
DB Name:
Enter the name of the database to which you wish to connect
Database Version:
Select the appropriate database version you are using.
SAP Admin User Name:
Enter the SAP Business One user name to be used to connect to the database. This user must be designated as a super-user.
SAP Admin Password:
Enter the password for the SAP Business One user entered in the previous field.
sa Password:
Enter the password for the SQL Server “sa” user. Contact your system administrator if you do not have this information.
B1 License Server:
Enter the name of the machine that acts as your SAP Business One License Server. This is typically the same as your SQL server (above) but can be different in some environments.
Click the [Test Connection] button to ensure that the information is correct. This process may take several seconds to complete. A message box is displayed when the connection is successful.
Click [OK] to complete this process.
These functions should typically only be used after consultation with TWBS technical support.
These functions create the various database tables, fields and objects used by TWBS RMA. These functions should be done when there are no users in the currently connected SAP Business One company.
Each of these functions must be executed for each SAP Business One company database where the RMA application will be used. If the function has not been completed for the current database the icon by the function will be red. Once the function has been completed for the current database the icon will be green as shown below. Each function may take several seconds to complete. A message is displayed when the processing is done.
This function displays the contents of the log file that is generated by the Service Manager activities. You may be asked to review this information when working with TWBS technical support.
